TERMS & CONDITIONS AND GUEST AGREEMENT

Welcome to Wild Eye Retreats. Please read these Terms & Conditions carefully prior to booking. By completing a booking and submitting payment, you acknowledge that you have read, understood, and agreed to these terms.

1. TRAVEL & INSURANCE

  • Travel Arrangements: Guests are solely responsible for arranging and financing their own travel to and from the retreat location.

  • Mandatory Travel Insurance: All guests are strongly required to purchase comprehensive travel insurance at the time of booking. Your policy must cover retreat participation, personal accident, illness, medical expenses, emergency repatriation, loss of luggage/possessions, and trip cancellation or curtailment.

2. BOOKING, PAYMENT & CANCELLATION POLICY

  • Full Payment: Bookings made directly via our website require payment in full at checkout to secure your place.

  • Cancellations More Than 30 Days Prior: Cancellations received in writing more than 30 days before the retreat start date will receive a full refund, minus a 15% administrative and merchant processing fee.

  • Cancellations 30 Days or Less Prior: Cancellations made within 30 days of the retreat start date are 100% non-refundable. No refunds, partial refunds, or course credits will be issued for late cancellations, late arrivals, or early departures for any reason.

  • Guest Substitutions: If you cannot attend, you may transfer your place to another person up to 7 days before arrival, provided the substitute guest completes all required registration and health forms and is accepted by Wild Eye.

  • Cancellations by Wild Eye: If Wild Eye cancels a retreat due to unforeseen circumstances or Force Majeure, guests will receive a 100% refund of payments made to Wild Eye or the option to transfer to a future retreat. Wild Eye is not liable for secondary guest expenses (e.g., flight or train tickets).

3. HEALTH, WELLBEING & SAFETY

  • Medical Disclosure: You must inform Wild Eye of any pre-existing medical conditions, injuries, mental health concerns, severe allergies, or dietary requirements on your registration form prior to arrival.

  • Assumption of Risk: Participation in retreat activities (including yoga, breathwork, movement, hiking, outdoor excursions, and cold-water dipping) is entirely voluntary and at your own risk.

  • Medical Clearance: Guests are responsible for ensuring they are physically and mentally fit to participate in activities. If in doubt, please consult a qualified healthcare professional before attending.

4. LIABILITY WAIVER

By booking, you release and hold harmless Wild Eye Retreats, its founders, instructors, team members, venue partners, and independent contractors from any and all liability, claims, or demands for personal injury, sickness, emotional distress, loss of or damage to personal property arising out of or in connection with your participation in the retreat.

5. CODE OF CONDUCT

Mindful, respectful, and inclusive behavior is required toward all guests, staff, and venue personnel at all times. Wild Eye reserves the right to ask any guest to leave the retreat immediately—without refund—if their behavior is deemed disruptive, abusive, unsafe, or detrimental to the group dynamic.

6. PHOTOGRAPHY, MEDIA & DATA PROTECTION

  • Media Use: Photography and videography may take place during the retreat for promotional use on our website, social media, and future marketing. If you do not wish to appear in published media, please notify us in writing prior to arrival.

  • Data Privacy: Personal information collected during booking is handled securely in accordance with applicable data protection laws and will never be shared with third parties, except as required to manage your stay.

7. GOVERNING LAW

These Terms & Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising in connection with these terms shall be subject to the exclusive jurisdiction of the English courts.
